Managing Signings?

Help please. Been looking & can't find an answer to my questions. Can a Signing Agent keep track of their singnings on Notary Rotary? OR, is there some other applicable software one can use? Thanks!

Excel spreadsheet the columns are, left to right:
date scheduled, date funded, name of contracting party, name of borrower, fee promised, fee paid.

I also use the same sheet to track by contracting party per month, promised and paid and a running total for the year by contracting party, promised and paid.

A new sheet every year. Of course, files that cancel are changed to show a yellow fill-in backgrund and no fees are shown.

I too use excel spreadsheet. It appears to be easier to

manage and see the big picture at a glance.

Over the years, I've tracked using a spreadsheet.
Currently, if has the following format:
There are 14 columns (you could reduce if desired)
date of closing
Borrowers name
days to get paid (built in formula calculated from signing date and date paid)
date paid
order number if any
time of signing
address
name of TC or SS
any notes i.e one signer, refi, etc
mileage to signing
mileage to drop off package
# of notary acts
extra column
travel fee (per state limit)
agreed upon fee
outstanding amount (formula buit in-- if there is a date paid entered, then 0 else its the amount of fee)

Many columns have totals at the bottom.

Nice thing about using spreadsheet is sorting.
i.e. At end of year, I copy to a file called "notary - taxes 2011".
I sort by date paid.
Delete closings that haven't been paid.
Sort by company name.
Then total amount paid by each ss/tc. Can then check with 1099 I get.

Also, the total of travel miles (to signing and to drop package) is used for expenses.
Total of notary acts is used for SE tax calcs (after multiplying by state max charge)

Lots of other sorts and calcs available. i.e. sort by days to pay.

I use notarygadget.com for keeping track of my signings, invoicing, mileage, etc. And I can access the website from my phone too, which is helpful, when I'm on the road.

I’m not sure if there’s a tool from Notary Rotary that organizes signings, invoices, etc. I am new to the site Smile But, I have been using an online software from notarygadget.com and it works great. Hope that helps.
