Must be bad wk for split signings (Get docs into right box!)

I was supposed to do part 2 of a split signing yesterday, but I didn't get docs from the 1st notary, so they asked me to reschedule for today. The only time the guy was available (naturally) was 5:30 pm. So far, I've had to turn down 3 other signings for that time slot today (and I already have another one for after that), not to mention yesterday.

I just found out that the 1st notary put the docs into the wrong drop box and now they can't find them, so they're trying to arrange for her to go get a 2nd set signed. Of course, that means I won't have docs today (and the last one I let get away was right in my town for a potential new client with top notch ratings here... Frown) I may still be able to get that last slot filled in, but it sure is frustrating! Also, if she can't make the cutoff in time for me to get docs by tomorrow, I may have to try to schedule this one - for the 3rd time - on EOM. (Grrr!)

I just wish they'd all been up front about the circumstances yesterday. I have no idea where the communications broke down, but this is just one example of how so many other people can be impacted by unanticipated situations. I realize that a mistake like this could potentially happen to anyone, but by not sharing information and communicating, it unnecessarily magnified the negative effect, i.e. her screw up and the subsequent poor communications have inconvenienced the husband, taken up a lot of time @ the ss (they could be the ones who didn't fess up), may cost me at least one signing fee, and escrow won't have the docs when they expected.

There has been lots of discussion here lately about good procedures on our part that can prevent problems down the line. Checking that documents get into the right packages and the right drop box (if you must use one - I never do, unless it's the only choice for a shipper) - is another area where it's a good idea to establish a procedure or system, if you don't already have one. It could be as simple as doing a quick cross-check with the title co name in the docs and on the label and checking shipper at the same time. (Also good idea to pencil in BO's name on label.) A little extra attention can go a long way, too!
