To keep track of your marketing efforts, you can use a contact manager or PIM (Personal Information Manger). You can keep track of it using a spreadsheet, or a notebook. I also keep a hardcopy of each correspondence with each company in a folder in a filing cabinet.
The point is, no matter how you keep track of your "contacts", keep track of them. Make copious notes and comments to yourself about things like problem areas, payment policies, good things about support and assistance when needed, date/time of contacts, etc. etc. etc.
