Losing business because docs not ready...

This is happening all to often lately and I wish I had some way to diminish the loss. Here's a recent scenario:
Got a call from one SS to do a signing at 6:00pm. (e-docs).
Me: are the docs ready?
SS: no, but I'm expecting them any minute.
Me: OK but I'll need them at least 1 hr before the signing.
SS: OK I'll send you the confirmation.
Received confirmation.
Got another call from a different SS. Can you do a signing tonight at 6:00pm?
Me: I already have one scheduled but can do it immediately thereafter.
SS: Well, if I can't find someone to do it at 6:00pm I'll call you back.

Here's the catch - docs from the first SS don't show up. Contact SS and find out the docs won't be ready until tomorrow. Meanwhile second SS found someone else. Result - I lost business with the second SS.

I know you all have gone through this as I have in the past but it really irks me that there is nothing we can do about it. I wouldn't feel right signing up to do both jobs for the same time with the expectation that one will fall through but what else can one do to protect business??

(One other problem I found with turning down the second SS is that this would have been a new client for me. By this SS finding someone else I lose the opportunity to prove myself for future business.)

OOps..... too late... Face is red, didn't finish thread first....
Would it be possible that they could actually find the notary after they get docs ready?? I have lost money on these, as well. I agree that you should go ahead and book the other signing, then if it does not work out for the edocs, they would need to find another notary. Sometimes, maybe it is just not possible, logistically to do both

There's really not a lot you can do about it other than accept both signings. I've inadvertantly double booked myself a couple of times and one of the borrowers has always been flexible about changing the appointment time. Not something I'd make a habit out of, but you can get away with this type of stuff now and again.

Other than double booking, I can't think of any other way to prevent it from happening. We can't always take every job that's offered to us and sometimes things happen where we don't end up with either job. It's the nature of the beast and completely beyond our control. No point in being annoyed by it.

You call the borrowers and ask if there's any way the signing can be done a little later in the evening. Odds are pretty good that one or the other is going to say yes. In fact, I've never had both say that they couldn't.

the dilemma was that the first apt's docs did NOT show up on time. When that happens to me, I call the borrower and tell them exactly that and reschedule it for later, after I'm done with a job I have the docs for. If you want to be at the top of everyone's list you have to be flexible and try to get it done for everyone, the hour doesn't matter, the day does.

Same thing here though, the late docs closing gets done last. If all docs show up on time, someone is always flexible.

Normally that's what I do. In this particular case I called the borrower and told him the docs would not be available tonight. He said if he couldn't sign tonight he would cancel. Lost not only the second signing but this one as well!
Charm - do you still want me to e-mail you or did the pressure from the rest get you to spill everything?
