Procedure E-Docs??

Okay I just got a laser printer and am ready to accept edocs. My question is what is the procedure?? I know I print and bring to ther borrower to sign but what about sending them back. Do I need to set ups accoutns with Fedex/UPS? Do I have to pay to mail? Would love any help.

Me,

One thing you should do is print out two copies of whatever has been emailed to you: one to be signed and one to remain with the borrower.

Now as far as returning the executed originals, I believe the last thing you want to do is set up your own account and pay through that account (or pay otherwise). You probably should have received a fed-ex (or other account) number in the confirmation with directions where to send the executed originals. Or in the packet, there will be a return mailing sheet. You just need to fold that over and place it in the sleeve and then have the sleeve placed on the envelope. There are other options (which don't involve your paying) that have been discussed I believe on this board, but I don't remember them offhand.

When you receive the docs by e-mail, you will receive instructions on returning them. The instructions will be either in the donloaded doc package or in the confirmation. There should always be a return address AND an account number and carrier. If you instructions to ship docs to xxxx and they don't say what carrier and give you an account #, call the person who sent the confirmation. Never ever pay for shipping unless approved in writing and confirmed that shipping costs are in addition to the negotiated fee.

Print, package, sign and ship. Be sure to get the address to ship to and a FedEx, UPS or DHL account number to bill to. You do not need an account. You do need to have some legal size shipping supplies, airbill forms etc. If you want, you can set up your own accounts with the shippers and generate the airbills online and also order supplies online to be delivered right to your door. Just remember to bill recipient (or third party, as the case may be), and keep a copy of the shipping details. I always include the shipping details with my completion report and invoice if I have not shipped with their account number previously. This is to notify the receiver that of what tracking number and account number was used for shipping. In the 10+ years I've been shipping that way, I have not had a bad billing that wasn't my fault (transposed the account numbers).

Also spend a little extra money and by good quality heavy weight paper. Not a necessity but that brite white stuff always stands out and is subliminally noticed by the client and the handler. Just a little, not too expensive, thing that gets you that next signing.

I always try to baggie the documents too for a little extra protection.

I buy the basic Staples or Office Max legal size copy paper by the case. I would never dream of spending extra money on better quality paper, yet I get plenty of repeat business from many different companies.

I have set up both Fedex & UPS online to generate airbills. I usually do all of my airbills for the day, print out 2 copies so I have one to fax back with the confirmaiton & invoice. Both companies will also keep an adress book so the accounts you ship to alot you won't have to keep re-keying. I have also started using the e-mail delivery notification for both companies. I get an e-mail when the package has been signed and who signed for it. That way they can't say they didn't receive it.

Sherri: "Generate airbills"?

I'm confused. ("What's new?", HisHughness and others ask.) If the lender/SS has sent an airbill for return (as seems to be usual for overnighted docs), can you still do the email delivery notification, etc.? Do you (gasp) replace the original airbill you received from the lender/SS with your own airbill?!

I have considered using Sherri's method myself because of the same reasons she states...but have been too chicken to jump in and just do it.

I can see that it might be harmless...If Fedex or UPS does not ship a package, it does not bill out to my invoice - in *my* experience. I would assume this would be true for lenders and title companies.

If you are given an account number to use, I can see this would be easier to track from your own perspective.

And, sometimes the other end can make a mistake...put the wrong address on the airbill...the other day I recieved and used a pre-made airbill which the Title company included for the return.

UPS called me and said it was undeliverable. With UPS on the phone, I used my cell phone to call the title company, and sure enough, they had put an old address on the airbill. My instructions had the correct shipping address on it, but the airbill created by the title company that hired me was wrong. I never thought to check their airbill against the instructions. Sherri's method would fix this problem.

BTW - the wrong address on the airbill delayed the shipment by a day.

You are correct that as long as the airbill is not used it won't be billed. I called both companies to verify this since I do my airbills before the closing takes place I wanted to make sure.

90% of the packages for me are e-mail ( and I believe the original question did ask about e-mail documents), no airbill just the account number. As for replacing the original airbill yes I have done that with the permission of the SS/Lender. If I replace the airbill I offer to have an e-mail notification go to them with delivery info. I have not had anyone say no.

It does not cost you to have an account. You do need to have a credit card on file though. But as long as you click the box to bill recieptant or third party you won't be billed.
