Doesn't matter much when you send a W9 in, whether before, with or shortly after the closing. If it isn't in their files, your check will be delayed and you probably won't go into their database for future signings.
This is the kind of question I don't mind answering from a beginner. It is not something that a neophyte should necessarily know from reading an SOS notary manual or from a signing agent certification course.
