sending notary commission to ss

i was asked to send a w-9, driver's license copy of E&O, and notary commissionn
i really am not sure of giving all this info out, also notary commission? is that my certificate or my stamp? forgive me if i sound stupid .can someone help me out ?i really dont feel comfortable. i called and said i would send the agreement and w-9(without my ss#) . i really appreciate the reassurance. thanks.

A lot of SS's ask for a copy of commission. I don't have a problem with that. Probably want to verify you are legit. However, sending a copy of your stamp is a whole different situation. I CA it is illegal to do so, and I can see why. Don't know what it could be used for.

I have sent my SS#. I have also been asked for a W-9. Thats for taxes. Just be careful not to send ss# when you sign up with SS's via internet as most are not secure sites.

well, you should really apply for a TIN (Tax ID number) that way you can avoid giving out your ss number but if you send them a W9 it should have your ss number on it (if you don't have a tin). Also, if they INSIST on a copy of your stamp, put it on a plain piece of paper and just strike thru it. But they should be okay with your certificate - because that tells it all. Just a suggestion and hope it helps.

Before you send an impression of your stamp, you should check your states laws about doing so. If it is allowed by your state do as Monica says. Strike through it.

You social security number (SSN) **is** a Tax Identification Number (TIN). What you mean to say, is to apply for an Employer Identification Number (EIN).

The following is from the IRS:

Taxpayer Identification Numbers (TIN)

A Taxpayer Identification Number (TIN) is an identification number used by the Internal Revenue Service (IRS) in the administration of tax laws. It is issued either by the Social Security Administration (SSA) or by the IRS. A Social Security number (SSN) is issued by the SSA whereas all other TINs are issued by the IRS.

Taxpayer Identification Numbers

* Social Security Number "SSN"
* Employer Identification Number "EIN"
* Individual Taxpayer Identification Number "ITIN"
* Taxpayer Identification Number for Pending U.S. Adoptions "ATIN"
* Preparer Taxpayer Identification Number "PTIN"


You can call the IRS or apply online and get an EIN in minutes. Even though the EIN is called an "Employer" ID number, sole proprietors can get them as they are considered to be an employer with one employee; themselves.

Do not send a copy of your seal if you are a FL notary.

Per the Florida Governor's Reference Manual, 2001, pg 21:

Remember, you should never apply your notary seal to and
sign any document without completing a proper notarial certificate.


This would preclude sending a copy of your seal, even if X'd out, to anyone for any purpose. A copy of commission (the certificate you received from the Executive Department, State of Florida, will suffice. It is your "license" (though by FL statute, we are not licensed, we are appointed as public officers) and must be made available to anyone who asks for your credentials.

Yes they need the W-9 with your ss/fein on it. If they pay you more than $600 in a year, they are required to send you a 1099 at the end of the year. A copy of this also goes to the IRS so be sure to report those on your taxes just like you would a W-2.
I have been asked for Copy of Commission, W-9, resume, e&o, bond, proof of auto insurance, copy of driver's license and yes copy of my stamp. My South Dakota commission certificate actually has my stamp affixed to it. That is part of the application process so nothing I can do there. I suppy W-9, copy of commission, ins and bonding. I don't do resumes. I do not send copy of auto ins or driver's license but I do make a note to them that my driver's license and personal auto ins are not applicable to the situation and that a copy of my commission and W-9 should suffice as proof of who I am and that I have a valid commission. Since I have an fein, I don't feel they need to know my personal information including address AND birth date. That is just asking for identity theft IMO.
