No Confirmation

Richmond Title called me at noon for a signing tonight at 7pm, I accepted it, passed up one signing because I accepted the other one. Waited ALL DAY for a confirmation never received it, so at 5pm I still had not received a confirmation, so I assumed that the signing was not going to happen and I accepted another signing for 6pm from another company. Well low and behold when I got home at 8:30 pm guess what, yep the docs were sent to me by Richmond Title for the 7pm signing. Needless to say the signing did not happen tonight. So what would you have done?

I would have left a BUNCH of voicemails

stating that nobody is returning your calls or answering the phone. I would also have explained that the docs and travel time were not going to be met, AND since they will not return your call OR process your paperwork, you have to assume that the signing is cancelled and you are off to other appointments.

---my post the other day regarding the LO who would not let me talk to the borrowers... well, the signing had been postponed and they just never bothered to inform me. So, I was very justified in dropping that assignment that day and moving on to other ones.

Drop the bugger and move on to the next assignment. We should not be held hostage by a Title Company who can't see fit to 'man' the phones or get us the paperwork in time for us to get to the BO.

-Matter of fact, that just may be my new mantra... "I will NOT be held hostage, lack of planning on YOUR part does NOT constitute an emergency on MY part."

Did you at least e-mail them and tell them to re-assign it? I can understand your not wanting to pass up a guaranteed job but you did commit to do the job for Richmond - you should at least have sent them an e-mail telling them that due to their failure to provide a confirmation as requested and their lack of communication with you, you would be unable to accommodate their signing and please reassign it to another notary...

And what did you do about the docs? Did you notify them you're not doing the signing tonight? I hope so because, if not, the borrowers are the ones left in the lurch here - they're going to have a heck of a time finding someone at 8:30 at night...

What are the first 3 letters in assume? We can never assume anything in this business. They are wrong in not sending the confirmation in a timely manner. However, I would have called when I didn't recieve one, say a couple hours. That's just me though. We shouldn't have to do that by any means, but I would have. Maybe it happened for a reason. Who knows. Richmond is quckly losing credibility among us. You just might have dodged a lot of anguish waiting for payment.

I never received a confirmation so i did not know who to call back, I was on the road when i accepted the signing and did not write down a phone number and did not remember the name of the guy who called me. I assumed the confirmation would be sent to me. I emailed them when I arrived home and told them that the signing did not happen due to communication on their end.

Ahhh, you didn't call. What about 'calls recieved'

on your cell? If it shows as an 'unknown number', then I would have researched them here, found a contact, THEN... (see my previous post)

Get a micro recorder

I always carry a small voice activate recorder. (Available from Amazon for about $40.00.) Since it is voice activated, I simply repeat the instructions I get on my phone's headset and the recorder records it. That way, I don't have to write down any instructions since I 'dictated' it and can transcribe the details when I get back to my office.

This model is not the best, actually marginal, so when it breaks I'll replace it with a different one.

I would only have waited 30 mins. before I gave a courtesy call to find out if they were sending a confirmation and let them know that without the confirmation, their appointment is only tentative. Therefore, if I don't receive their confirmation by X time, subsequent confirmations will receive priority over their tentative appointment.

I would have called Richmond Title before they closed

for the day and asked about the confirmation. Whenever I get a call for a closing, I write down the scheduler's name and phone number/extension if at all possible so if the confirmation doesn't arrive, I can call and ask what happened. Once in a blue moon, the confirmation email will have gotten lost in cyberspace, although more often the scheduler or whoever was supposed to send the confirmation simply got busy and forgot it. Only a couple of times have I not received a confirmation because the closing was cancelled and no one bothered to tell the lowly (NOT!) notary.
I always assume the other way - that the closing is a go and that I just haven't received the confirmation because of some glitch in the system, so I need to call and remind the company that they aren't doing their job.
And frankly, I would have called the borrowers, explained the situation, and asked if they still wanted to close that night even though it would be late. The loan is such a very important thing to the borrowers that I do it out of consideration for them, not the company that screwed up on sending the confirmation. I do whatever it takes to make it happen for the borrowers if they're amenable, and take up the issue with the scheduler the next day.

I'm a one call gal

No CO, they get one phone call reminding them....if they don't do it, I move on to the next request.
Unless, of course, this is a regular client.
Those clients get my patience and trust.

Given their reputation I’d have said no. However you took the assignment, and in my book are obligated to do the job, or speak to someone there and say that you can’t (or won’t) do it in time for them to get a replacement. I would say by 3 PM. Did you call them? When after 3-4 hours you had no confirmation? Communication is essential in this business…But it works both ways. Just because Richmond may be lacking in business sense or scruples in NO way gives you license to act likewise. These caviler attitudes give us all a bad reputation.

Richmond seems to be going down the path that so many others have gone down before closing their doors, IMO. Weigh your risks and don't say no to a sure thing just because Richmond can't get their game on. If RT decides to finally get it together, reevaluate your options and decide what's best for you and your business.

that they were notary searching and that they found someone else. I wouldn't beat myself up over it.

I run my business... they run theirs... kinda long post

I just had this happen with a company. They called me Monday pm, asking me for a closing for Tues eve (no time stated). They had to okay my fee. They called me back to confirm they could pay the fee & would send the confirmation. I got home & looked up the company on Notary Rotary & there wasn't much, except for 1 time saying that when they found a cheaper notary they would cancel & reassign. I never did get the confirmation. I thought, oh well, bad news company anyways.

Then I received a called to do a closing this morning for tonight with a company that confirmed my fee & sent me a confirmation immediately. Received the docs right away, even though the closing wasn't for several hours.

I get down the road (I am an abstractor also) & I get an email with all the documents on my blackberry for the closing with no confirmation & a few seconds later I get a call telling me they just sent the docs. I tell the lady... really, I took another signing because I never got a confirmation, looked your company up on notary rotary & got a negative report & took a signing this evening in a location 1 1/2 hours the opposite direction. I never got your confirmation. She said, I will send the confirmation again, but if you do not get it call me back right away, because we have had several notaries not get our confirmation. So I wait several minutes, no confirmation & call back, to talk to a different employee, who I tell that I did not receive a confirmation the first time or the second time sent & that I accepted a different closing & I will try to work them in. She says, why didn't I call them when I didn't receive the confirmation. I tell her I looked them up on Notary Rotary, plus I run my company, am busy, I expect that if they repeatedly have trouble with notaries not receiving the confirmation that they should fix their problem. I'm going to take a for sure deal, not dealing with companies that can't get it right.

I ended up closing the deal, but really, I am not desperate for work & I am not going to hold anyone's hand & follow up when I do not receive an email. I don't have to do that with any of my title companies when they order title or with any of the other signing services or title companies when they order a closing. I run my business well, if they can't... can't help them. I got money to make for the companies that know what they are doing & do it well. That is the bottom line.

I run into this a lot with TC's

But if its with a TC I've worked for before I wait for the docs.
If I'm on the road and the # comes up unknown I ask them to call back and leave the info on my voicemail with they name and phone # never had them say no.
