Does this bother anyone else?

The confirmations that we receive from companies, many are very professional, all the informtion is right there for us. BUT, then there are the junk confirmation forms, there are getting to be more and more of these. It is so hard to find the information on it. They take 5 pages to tell us what they could on one. What is so hard about organizing this form.

Their Company name, address, phones, website, email

Notary name , address, phones, email

Borrower names, address, phones

Date and time of signing

Ink color, (Don't stick this half way thru the Lenders package, give it to us on the confirmation)

Title Co name, address, phones

Where to return the docs, address
Fedex or UPS account number.

Special instruction, copy of ID, funds due (please make sure the Loan officer calls the borrower instead of us surprising them, that creates many phone calls and we have to sit there waiting for them to explain why to the borrowers, etc.

Anyone have any other suggestions?

I totally agree with you specially on this one. I too had an incident where we siged half the docs and then comes the page with ink color .... after that I have made it a point to ask ink color up front although our State allows both black and blue.

When I get a call I normally ask for mileage and a couple of SS are always off by 8 - 15 miles... I dont understand if some one is doing it intentionally or they have a different program for directions. (specially if you get a call while you are driving ) I dont know how to handle this ..... I accept the signing and dont feel like arguing over this small matter though it is slightly annoying.

One SS gave me milage in a straight line .... what does this mean. Told her that we have stopped using our broom.

Many use programs that go from zip code to zip code. Takes too much effort to actually plug in an address at either end. I never ask them for mileage, but I might ask for an address at the other end on occasion.

One situation I used to get all the time was for calls to a city that isn't too far as the crow flies, but there happens to me a bit of a mountain in between which I would have to drive around. What looks like it would be half an hour would take an hour and a half -- usually in traffic. (The company that used to frequently call me for those is no longer in business.)

Agreed fee, payment policy (no-sign, canceled, etc.)

Many times, signing services do not get the information they should, thus resulting in missing details, like ink color, copy requirements for ID, etc.

In addition to all that you mentioned, don't forget our fees and payment policy. The confirmation is our 'contract for service.'

Additional things need to include:
- After hours contact information
- Witness requirements, if any
- Signer requirements (John Doe only, spouse must sign too, etc.)
- Flexibility in closing time ("Call borrowers to arrange", "Not Flexible", etc.)

I'm sure there's more, just can't think of any off hand.

This also requires that the signing service get more information from title or lender before committing to take the order.

I also like to know who the lender is. Makes a difference sometimes whether you're dealing with one who likes to include their advertisements, referral requests, and customer surveys. Extra paper printing costs! I find it interesting how often the SS has no clue who the lender is.

And wouldn't it be helpful for the SS to have more information about where the signing is to occur so they could price their services to the lender or title company hiring them? Then when the notary needs more money to go around the mountain, they have more leeway to pay better.

if they have some weird method or special form for Invoicing...tell us. Definitely agreed upon fee. Where docs are to be sent after signing & their Acct. #. I can see no reason why all this can't be put on one sheet of letter size paper in an orderly manner and not be crowded.

I find this happens when dealing with attorneys, some are not aware of either confirmations and/or the information needed. I had one accuse me of not trusting him.

To answer your question, YESSSSSS!! In fact, I did a rant about his myself a year or two back. One thing I would add is loan officer name and cell phone, especially for after/before hours appts.

The variable info, especially the borrower name and contact should definitely go right up front. They can add on all the extra policy stuff, instructions, etc. they want, but we shouldn't have to wade through it to find the key information.

YES!! That is why...

I have created a "Prep Sheet" as I call it and I can read through the info, and copy the "important details" down on my sheet, then any blanks left, I know I have questions and follow up to get the answers. Yes, it is a bit more work...but I feel more organized that way and I can look at my sheet and know where to find the info.

Gosh, if everyone had one page, easy to follow confirmatons...I could probably skip this step.

More than 1 phone #. Home phone # only is no good if both parties work.
Work number alone is no good if person isn''t at that number -- i.e. delivery person.
