Get an accoutant...to post below.

The shoebox of invoices does not work for the vast majority of notaries to run their accounting. All I will say is that we close many many loans per month and recieve many payment inquiries. Almost all of them have already been paid...over 95%....for which we USED TO go online, print a copy of the cashed check and forward to the notary. We are not as gracious anymore.

Now we just reply with check number/date and tell them to get a new accountant....everytime.

My guess is less than 10% of the general notary population has any accounting at all....shoeboxes dont count.

Any ideas on how to help the other 90%. My accounting is over it!

Well, You presume that most of us are not capable of running our business and use no accounting system whatsoever - boy are you wrong! I dare say over 90% of us have accounting software and run a profitable business or we wouldn't be in business. Unlike the ss services that come and go and cheat notaries any chance they get. (Not all but some) And the notary is just to take your word that you paid them? What about the 5% you screw up on? Where's your accountant then?

I will try to keep this civil.
I don't know who you are or what the name of your signing service is or if you are "just" a notary who is "want to be signing service"BUT:
I for one am tired of your putting all of us down. If you are so good why don't you come clean and let us know who you are and explain what you have to offer to make our life better. Otherwise, just please go away.

What do you know about accounting? You short people, you can't or won't research what you have paid nor send photocopies to support your alleged payment -

I can find all my stuff immediately, whether it was in my shoeboxes when I first started out or in my accounting programs as I progressed. But, the joke wasn't for you, it was for the young lady I conversed with on the other thread. Even her reply indicated it was an organization tool and the beginnings of the accounting system. The principles are in place whether one continues with their shoebox, or file folders and ledgers on to todays sophisticated computer programs. Believe it or not, I worked in accounting when Sears still had all their customers on ledgers and we computed interest via adding machines so don't be so surprised to discover that the modern age is very young...and this was in the late 60's and since I left, I don't know how much longer before they computerized their books.

HDD's problems happen maybe because the notaries

who are working for him do not understand how to take care of their bookkeeping...or the difference between a profit and a loss.

Those tidy bookkeeper/notary types generally like to keep their books in the black...not the red.

Maybe that has something to do with it...just sayin'....

to me that (possible???) mistakes are happening, and I won’t say that they are not, but if you told me you paid me and I have no record of it, one would think that you would WANT to prove the check is cashed. Producing a copy of the said check lets the person know for sure that they cashed it, and you are just not trying to get out of paying them(which by the way is rampant among those who owe us). I would be more likely to believe that I made a mistake, when the company that tells me I cashed the check, if that said company always paid their invoice on a timely manner!
That being said, I use QB Pro and am a former bookkeeper, between my QBs and my bank account (which I use just for business), I know if you shorted, paid, or not paid me!

If on the other hand, you are trying to get away with not paying someone because you THINK they won’t know that you did not pay them, you are wrong! Whether they pursue it or not, is the question. After so many complaints are listed out on the net, many will not work for you! So to get back to my original point, always produce a copy of the cashed check.... hassle or not and the posted complaints won’t happen!!!!

I make a copy of the deposit slip and all checks in the deposit. I then staple the bank receipt to the copy after deposited. That way, I have proof of all checks that I received. Also, I staple the second half of the check to the original confirmation and mark the confirmation "Paid" along with the date I received it. If there isn't a second half to the check, I make a copy of the check and attach it to the confirmation.

I'm sure there are better ways, but it works for me.

Jo, that's exactly what I do. It works just fine for me too! I have a folder for all confirmations I have completed that are unpaid. When the check comes in, that confirmation is pulled out and the half of the check that we remove is stapled to it or a copy.

JoJo Tess Redd...Thats the discussion I was hoping to generate....The posters here have their stuff in order, and knows who owes and who doesn't.......they are NOT the GENERAL notary population I was speaking about. Hopefully your discussion continues.....and the GENERAL population of notaries reads it....or searches for it and learns.

I am also a CPA and I find it unreasonable that either the ss or notaries don't keep good accounting records. The IRS and state taxing agencies are going after anyone who cannot support their mileage deductions, home office expense, mortage interest related to business deductions, and depreciation. I know that I charge more for tax returns when I have to go through a shoe box (about $60 per hour for bookkeeping, in addition to tax preparation fees). So, if we notaries want to reduce our taxes, keep good records so a good tax preparer can have you pay "the least legal tax."

It seems that every now & then you come on this forum to

stir things up. :-( When it comes to reputations, many of us have better ones than you. Unfortunately, some ss take it for granted that those who do this kind of work are morons--not true. I have many relationships with companies built on mutual respect. You might try that approach some time.
