Just Wondering About Cancellations Due to Late Docs
I am curious. Do you call borrowers if the docs are not ready and you are unable to complete the assignment and if so, do you tell them the reason? It seems to me that many times I hear from borrowers that another notary did not show, didn't even call, etc and I wonder if it is really the case. I always call if docs are late and I tell them the reason I will not be meeting them. I find that frequently the borrowers call back because their loan officer that the documents had been sent, etc. I started the practice of calling about late docs because in Louisiana they have two witnesses waiting in addition to the borrowers. I also find that it helps protect me and my reputation in case I am thrown under the bus by title company or loan officers. What do you all do?

Yes, I call to let them know that I won't be arriving at
the scheduled time because I have not yet received docs. Then I ask if they have any availability to sign later than scheduled (assuming I can accommodate that and don't have to turn the appointment back to TC). If they can meet later, I usually tell them that I will contact them once I have received the docs and I can let them know a more definite time of when to expect me. If they want to know why the docs are late, I refer them to their loan officer.
If I have other appointments I will put the late job to the end of the line, or I will turn it back if that's not possible.

Yes, I always call the borrower, even if I have been told by the SS or TC that the borrower is already aware. I have found that many times the borrower is not aware, and they appreciate the call.

Yes. With two hours to go I let the hiring party know the latest they can send me the Docs and the scheduled appointment met. I also info the borrower that I am waiting for Docs and will call them as soon as they arrive. That is the reason. With one one to go, I let the hiring party know the signing isn't going to happen and they should re-schedule with the borrower and pls advise. Usually they will email me back a cancellation or borrower notified and will re-schedule.
If they say cancellation, it means they found another notary (LOL), I usually go back out on the re-schedules.

I call to introduce myself and to let them know who I am
And if docs are late, I give them a 2nd call to let them know this. If there are still no docs an hour before the appointment, I suggest that they call their loan officer.

Yes, always always call and many times I will tell them that they may want to call the LO and see what is going on.
Most times when LO gets wind that docs are not being sent the wheels will turn much quicker!

Yes, I always call, with plenty of time to spare, too. Since I enforce drop-dead times most of the time, I can usually let them know so they can make other plans if need be. I always introduce myself and briefly explain about how their documents get to me and let them know if I don't have them by X:00, we reschedule. It's just that simple. I'm not a hostage to poor planning and laziness, and neither should the borrowers/signers be either.
