Docs haven't arrived...

The clock is ticking, the signing company is aware and the distance to travel (in rush hour no less) is far. 0_o

Yes. Tell them to email docs to you or track the package. Let client know too you will be late and call again when you are leaving.

Take a deep breath! This is the nature of our crazy business...edocs are for the most part timely, however, there are times when they are simply not ready. Changes to the HUD mostly which is the last piece to be finalized.

I usually am in touch with the borrowers to let them know the documents have not been received and I'm running late...they are usually fine, as long as you give them some notice. Sometimes it's not just an hour, could be the next day, as long as documents are not date specific, you'll be fine.

Remember the Signing Service has NOTHING to do with the preparation of the docs.
Title usually really wants’ go get them up, and out. It is usually Title waiting on ‘final approval’ from the lender that slows things down.
Calling the SS that hired you will do no good, except to let them know you don’t have the docs yet.
Calling Tile may generate a call to the lender to check?
Calling the borrower explaining that you still don’t have their documents, and that perhaps rescheduling the appointment for a little later may be necessary, and asking then if they could call their LO and check with the lender to see what the holdup is, may actually do some good. The LO may just call his people and get them moving. JMO
Late docs are not unusual.

Of course there are some companies SS in particular that are notoriously late..I had an LO call me asking where I was..He sent docs to the SS 3 hrs before signing..He sent them to me, I printed and headed out I was late and kept in contact with the bo. The SS then sent the docs within minutes after I got back home!

I also work for a TC company that says NOT to blame them or lender if docs are late when talking to Bo..So do we take the heat for this??

Dont sweat it..just let the bo know what is going on.. Breathe and good luck!

I recently worked for a TC that said that same thing in their instructions (could be the same TC). It said do not tell the borrowers that documents had not been received - it "upsets the lender as they feel it's unprofessional."

I was scratching my head thinking what else are we supposed to tell borrowers when we call to inform them that we won't be showing up at the appointed time and to ask about their flexibility?

Think Seinfeld:

I'm not saying that the documents are late, I'm just saying that they aren't in my inbox yet. Not that there is anything wrong with that, unless you want to be on time.

Know exactly who you're talking about, Copper. Have one for them for tomorrow morning - no docs yet; "still waiting on the HUD approval" - and another for them for next week Wednesday - don't expect those docs 'til morning of.

And yes, OP, just part of the business. Open lines of communication with borrower(s) and hiring party is essential!

Claudine,
I’m confused…I know Claudine only through her posts, and knowledgeable responses here. I think she’s knowledgeable, experienced, and tells it like it is, and I trust her judgment.
I now only work for a handful of people/companies, but I’ve been doing this ‘Notary Signing Agent’ business for more than10 years, been a notary and licensed RE Broker, and familiar with the lending/title business for more than twice that. I have done thousands of closings. And as a NSA have never with one almost-exception, had a LO “send me the docs.” That ‘exception' was when Titles computer system was down and the Escrow Officer at title requested that the lender (not the LO) send me the final approved docs directly. I have had the LO present at closing with the borrowers with the docs in his possession. Or I have met the LO at Titles office, or at a Bank branch with the borrowers to sign the docs that title worked up. Some LO’s have met me at the borrower’s home to sign the docs that had been sent to me (by Title). Now usually the SS’s that I work for get their docs from Title, by having them ‘posted’ (uploaded) to their web site, and I then ‘retrieve’ them. So I would be interested to know what SS received the docs from the LO via e-mail, and that LO copied/sent to you several (3) hours before closing the final docs. However the SS having NO contact with you then forwarded a (another) copy of these docs to you….but sent them AFTER the scheduled closing time? Are you sure the LO didn’t tell the SS that he had sent you the docs hours prior to closing? Anyway…just curious, maybe you can tell us (or PM me) the name of the SS so I can put them on my “HAS NO CLUE” list?
And I never said “blame’ anyone, I said let the borrower know you are waiting for, but do not have their docs. That you will be out-the-door as soon as they arrive, and are printed.

Yes, welcome to the business. It's all too common for docs

to run late, especially at EOM. You're human & can only do what you can do. Good communication is the key & keeping the borrower updated. I usually let them know it's not unusual in the industry and will call them as soon as I have an ETA. I also check with them on their availability & flexibility of time. Sometimes they have another commitment. Always be prepared to adjust your schedule accordingly. These are the things you'll learn from experience in this biz. Happy signings!

When I telephone borrowers to confirm appointments, I let them know my arrival time is "estimated" based upon a timely receipt of their doc's. I also ask them if they are available for a signing sometime after the appointment time if doc's are late. Most are OK with the setup. This really eases the pressure of trying to keep unreasonable schedules caused by those @*#^%! LATE DOC'S!.
