Client Tracking program
I would appreciate knowing what formats my fellow mobile notaries are using to track clients which would include first contact, signing service, client, appt date, pkg sent date, fee due date and paid date. I know I can create this in Excel or Numbers. However, as I began to do this today, it occurred to me that I may be remaking a wheel that is already rolling along very well for someone else who would be willing to share. I definitely recommend Excel for tracking. It took me a bit to be convinced of that but since doing so, I am very pleased with the results. The best part is that I can quickly glance at it on my computer desktop to see how my Accounts Receivables are doing. I put a whole year on each "Sheet", TOTAL each months earnings, and these and these are my headings:
Date Signed
Signer's Name(s)
R/T Mileage
GNW (with an asterisk) or SS name
Invoice Sent (where applicable)
Gross Amount
State Fees
Paid (YES/NO) (NO in red font and YES in black font)
Collection Calls (if applicable)
Collection Letter (if applicable)
Comments

I track it all in Quickbooks.
Though for this business, I think quickbooks may be overkill. It works for me because I know my way around it.

I use notarygadget.com, it’s an online software that helps me track everything you listed above. The best part for me, is that it will send an appointment reminder to my iphone that I can add to my calendar. Hope that helps!
