SS's seem so disorganized
**gets out small soapbox and steps up onto it** Ok, so I am having an issue with a number of my SS's. I sign up with these companies (4&5 star only) and I send them all the stuff they ask for, including the W9. I keep all the faxes and corresponding cover sheets and reports I get after the fax has completed. This is how I keep track of what I have sent to who via fax. On email, ALL emails are put into a folder for that company, including the ones I send to them. This keeps all the e records organized.
I have three companies right now, all of which I have worked for before (and been paid), that are telling me I need to send them my W9 or my commission and W9. For those I have in email, I go back to where I sent it to them the first time (or in some cases the second time) and forward it from there, purposefully leaving the FW at the beginning of the subject. The body of the email usually ends up something like this. "I have forwarded you the email I sent you on (date). Thank you." In the case of faxes, I tend to do a similiar thing, "I pulled my records and found this information was sent via fax to (fax number) on (date). You will find a copy of that record attached. Thank you."
I even have one company that has paid me three times and has asked for a W9 EVERY TIME. I asked her about it and she said she never go the first one, until I sent her the receipt confirmations she sent me after each time I sent my info before!
Why does it seem like SS's are so disorganized. Not only can they not be bothered to standardize requirements and instructions (which would improve notary performance all around) but now they are throwing away paperwork as well? What am I missing?

I do hope that...
on all these W-9s (wherever they are going), you are providng an EIN, and NOT your SSN.
The last thing you want is a disorganized SS having your SSN, and not knowing where it might end up.

I always recommend (as a CPA) that independent notaries get an EIN and not use their social security number to prevent identity theft.

I keep my commision, E&O, Bond, resume, w-9 and whatever else they tend to ask for, right under my fax machine. Then I can fax it any time they like.

And a good reason to never send them a copy of your DL, which they seem to think they need but they don't.

I keep a copy of my pertinent info on my desktop, if someone wants it I just send them the whole works ( W-9, commission, background check, E&O)via pdf. Some SS out there don’t have an ‘accounting’ dept., or a ‘legal’ dept., or a ‘billing’ dept.. I find some of the best are small operations. Some of the worst are ‘branches’ of multimillion dollar Corps. That have all that stuff but don’t have schedulers that are experienced Notaries/NSA’s, or have English as a second language, or are offshore, or have anyone involved that has a clue, or cares about this business. I’ll take experienced, honest, small operators even if a little disorganized any day, to some big uncaring corporation. JMO

I always reply to their email when sending in the new company my information. If they ask me for it again I just forward the first email that I sent to them the first time telling them here it is again. I never have had them ask me for it the 3rd time.
