Can We talk Fax Backs?
I had a package they wanted all but a few documents faxed back. Really, I faxed the whole thing. Less time consuming than picking the few out. And I find it very time consuming to pull 10 or so documents out, fax and feed them back in to the stack. What am I doing wrong? Or do you not feed them back into the stack? And if you are on the road, not wanting to go back to office is there a place with inexpensive faxing? I have not located one. Can you get an account somewhere that would make this affordable?

IMO the main reason faxbacks are such a PIA is that it is
cost prohibitive to do outside. Fedex charges like $1.49/page. I run into it all the time with structured settlements, and they want those faxed back (40 pages or so). I do explain when I take them that it will be contingent on my being able to do it when I get back to my office. I also recently purchased a sheet-feed scanner & it takes minutes to run those, create a pdf file, and email it. It's still an issue of having to return to my office/home to complete that extra task. It really cracks me up that many cos. who request faxbacks don't have a toll-free no. either. Are they kidding? ;-) LOL

is because I do go back home to scan and email then have to go out again to ship.
I always tell scheduler requesting faxbacks that they will be scanned back. Never been a problem yet. Don't need need toll-free number to email.

Another annoyance of scanning and emailing is email size limits, either on the notary's ISP or the recipient's ISP. Breaking it up into a series of emails is like a nightmare from the 1980s when doing that to evade size limitations was commonplace. If a company wants images, let them provide a website where large files may be uploaded.

This Msg #428605 helped me to figure out how to re-do the settings on my scanner so the file size is much smaller. Like you, I was having to break the file up into a series of smaller files/emails. My scanner was scanning to OCR and when I turned that off it made all the difference.

If I pick them out to fax back, I put them on top. I don't put them back in order. Not my problem. I also tell them that I will go back to my house to fax, but then the docs might not go out the same day (if the signing is late in the afternoon). Then I let them choose which is more important: faxing back, or getting the docs the next day. I suppose in a pinch, you could take the docs to a FedEx office, photo copy the faxing docs for 10 cents each, ship the docs, and then fax when you get home. I have never done that, but it occoured to me the other day.

Personally I find it just as easy to fax than scan. My machine does both in about the same time and I don't have to find the email doc and then delte it. Two extra steps Thanks for the info. I will stop trying to feed them back in. I was told to on one package, but others don't specify so I will stop. Otherwise I need an extra fee Yes fax backs are an issue due to the time it takes to go back to office. Most of my jobs are 45 to an hour drive minimum for me. Then they want docs faxed in 2 hours. Please. When I see this now I call and tell them extra or they can reassign. Dont think I would drop them first. Often they are checking not only your work but theirs. Apparently this is when they decide to check figures etc. Thanks for the tips.

I clip the fax back docs on top, with the cover page. I never feed back into the package, and have never heard a complaint back.

If you have iphone
get the turboscan app. You can snap a pic of the docs convert to pdf. Only downside is that it doesnt merge all the docs into one attachment. Either way while out you can take about 5-10 mins to snap a pic of the doc and when you get home send to email and/or merge docs or send each individual doc. I did that once and the company told me to just forget about sending faxbacks next time just drop them. lol I guess they didnt like 18 attachments....

Sounds like a plan. I had an investment property refi yesterday for Chase, 48 pages of faxbacks.
I was at the branch and they faxed back for me. Happy to do it. All about customer service, although out of state LO, HARP refinance.
Worked out great, but I do like this smartphone app you speak of Toni, what a great solution!

I have this this program. You can do a lot with it. I just find it cumbesome. I just saw the "SCAB TO PDF" app during the search of Apps on my Iphone. It's $4.99 but whatever if it works. I know some people use it on desktop. From what I read it it a multipage program. I personally know nothing about it. May be worth a look. Got lots of stars. Of course people either loved it, some in between and some Ugh. As is always the case.
Anyhow, for what it's worth.

So far this has seemed to work for me (but maybe it won't always). I inform the scheduling party that if there are going to be faxbacks that I charge a fee of $1.79 per page and that if they agree with it then I also want it in writing on my confirmation along with them agreeing to my fee. I let them know that I will be faxing them from my home office etc. and that the fee will appear on my Invoice. If they are unable to put all agreements in writing (me being in business) feel I have the right to refuse the work being offered. I also agree that if I have faxed some not all doc's then why should they be put back in the stack, I just put them on top with a sticky note attached.

I recently had to reformat my hard drive
because I had a problem that has been going on for a long time. Bear with me here I am getting to the faxing. I signed up with RingCentral for faxing 7.xx a month. It allows different ways to fax including from your cell phone and directly from your scanner.... Amazing, just like a fax machine. Also drag and drop from desktop. Well I could use the attach files like others but not those two. So I called RingCentral support and after hours of really good help I knew it was time to fix my long overdue system. Enough of that.
I can now with RingCentral. Drag and drop a file to fax.(Lots of formats) It recognizes my scanner (obviously from my desktop) and will fax directly or can do the attach method. Also is an app on my Iphone. Might be worth a look and it has a trial for 7 days and there is a coupon available. And I have to tell you the support is unbelievable. And they are not even in the US. Yesterday someone even called because of the issue I had. I had to tell them because of their advice I reformatted and now my whole system is AoK.

Long ago, I had one Lender I worked with that required Fax Backs. I either went to the T/C or to their office (once I discovered this was required to get the package in funding status sooner, I then cut down to maybe three documents). Since then, I have never accepted a signing that requires them. I will say this, occasionally, when I need to get a copy of I.D or (additional closing evidence from a signer(s) [of course, even though they've been advised these were required, sometimes it just doesn't happen]), I use my Android. Simple free app called "HandyScan." Continuous load for single attachment, converts to pdf, emails to client, and/or myself, while I'm at the signing table.
I may be offered for IPhone, if not, CamScan does (same principle). If you have 10 pgs, you could shoot as you go, convert and email. Very simple tutorials...

Recent experience
Had a signing yesterday requiring faxbacks of critical docs. Dutifully did the signing and required faxbacks. Waited for approval re the faxbacks, none came. This morning I get a nasty email telling me that I did not drop the package at FedEx. I responded (basically), the ball is in your court, awaiting your approval to drop.
Still no response from the SS.

Here's what I do, Fax Backs are extra. the amoujt extra depends on the the level of service required. If they want it faxed back immediately after the signing then the cost of the extra time is included. This also includes whether it has to be dropped on the same day or not. Next level is that it will be faxed back when I get back to the office this evening and will be dropped the next day. It is amazing how often required fax backs become "no fax back required., but5 for those willing to pay the extra charge I do it with a smile nad don't see it as a problem, but rather an opportunity to better serve my customers and add to the income stream.

I Agree. Give me your Staples/Fedex-Office acct. no. - 'cause if I go back to home office to fax, 'Next Day Drop' is what it is.
