What Is Your Minimum Time To Receive Docs?

I hate waiting around for documents, and I hate chasing the documents down even more. I have three back-to-back closings tonight, all within a nine mile radius from my house. However, I do not have the 4:00 p.m. docs yet and it is only 45 minutes until the closing.

My question to you......what is your minimum time to receive docs before the closing?

Hi, PegiT: This topic has been discussed a zillion times. Some notaries demand docs the day before, others don't care when they arrive (they just inform borrower signing's delayed cos docs haven't been released yet and they'll get back to them to resked when they have docs). Others call and turn the signing back if they don't have them 2 hours, 1 hour, whatever before signing time.

Only you can decide what works for you.

Two hours. Period, unless it is literally in my home town.

There are man problems that can occur when printing docs, many of which have nothing to do with you, your computer, or your printer.

I need them within 2 hours of appointments, if nothing on the books I will wait a decent time. If I have something else scheduled I always give myself a hour buffer just in case.

I just turned one back today - appointment has been scheduled for 10 DAYS but docs did not come in until after appointment time. I turned it back about 30 minutes before appointment time due to no docs. I have other appointments with docs in hand so I will be doing those on time.

I put a courtesy notice in about 3 hours prior. At 2 hours I inform the client the docs have not been received and that I have other appointments to tend to, if any. If no other appointments, then I will wait; however, if they come in later, then the service is then considered Urgent Docs and an additional fee will apply, and the signing will occur based on availability. If it really must be signed that day, the client will generally pay the additional fee. If not, no worries, at least my other appointments are not delayed.

I had a signing that was at 10:00 a.m. this morning that no docs ever arrived. It's still on the books for today, but I have a feeling they will cancel for no docs. We shall see.

It depends on my schedule. If it is full I turn it back so TC can find someone else when docs are available. If my schedule is not full I work with the borrower and TC to get it done. I recently completed an 11AM scheduled signing at 5:30PM the same day and received three separate thank you emails from the TC. Remember, we are always marketing our services.

Depends on where the signing is and what time it is. Rush hour traffic here can delay the trip up to an hour. Usually require a 3 hour lead time. For my regulars, 2 hours.

Good point. It also depends on where you are. I live in a very rural area so when my GPS says I will arrive at a certain time, I usually arrive then. I used to live in California and arrival time was always uncertain.

I have a 5:30 p.m. signing for tonight which is exactly 15 minutesfrom now and never received documents, no email no update,nothing.... I emailed them stating that I never received docs-therefore signing will have to be rescheduled....which makes me mad this time because I had to cancel a girls night out due to this signing and I REALLY REALLY needed a girls night out...

How could they be furious with you for no loan docs? They must be confused and think you are their loan officer. I've had that happen before.

UPDATE: just got call from title-they just sent me the docs (2.5 hours later) and if there was anyway I could do the signing----TONIGHT....Nope dont think so.....

I don't have a standard deadline set in stone because it can vary by time of day and from one day to the next. However, I usually try to shoot an email to the client before whatever my deadline is for that day. (Hopefully that's what you did.) That way, they can either try to put a rush on the documents, give me an update that I might be able to work with, or agree that someone else needs to be assigned. And if it's the latter, they'll have a decent chance of actually finding a replacement.

And I'll likely update the borrower, depending on the response I get (or not) - especially if it looks like it's not going to happen. Who knows... that borrower might have also had to cancel a girls night out (or something else) for that night, too. Once I've spoken to a borrower, out of courtesy and decency, I try to keep them in the loop. I can't say how many times, for example, I've received a call from a client saying that the signing was postponed, etc. and the BOs were surprised when I called to make sure we were all on the same page.

I do email asking about docs-and I always call the borrower because the worst thing I would ever want to do is not call them and leave them wondering what happened and this was a signing scheduled at a public place and not their home...I know how I would feel if I was left waiting and wondering why no one showed up or called me ....we are all too busy with life...and to work like this which this signing was scheduled a week in advance---wish it was better orchestrated between title, lender etc...

That is very situational. I will go hot off the presses at whatever hour day or night - I am 24/7.

If I have other appointments, then changes may be necessary. I can juggle, but only within certain limitations. I think we all feel this way pretty much. Communication is key also.

My situation may not be yours - all very much predicated as well on locale, time, traffic to and from, whether you have other docs in hand, and then there is that plain old human feeling of total disgust with the doc senders for wasting your time and you just can't deal with it so you eliminate something at that point.
