FAX BACKS

Just did a signing and wasn't told that the entire package over 100 pages needed to be faxed back. When I ask for $75.00, the SS balked. WOW, figured I'd be a snot and throw in there, Your not paying for it, so ask and see what the answer will be.
HMMMM. don't usually do fax backs, really hate them, but seems I'm getting more and more of them.
Why is it the SS balk at asking. Geez you'd think it was coming out of their pockets.
What's your opinion?

Your message was unclear: did you ask $75 for the faxbacks or the entire package, faxing included?

$75 extra for faxbacks?? That seems, to me, a bit extreme. Did you ask them ahead of time if they needed anything faxed back? It's best to always ask and confirm, and in your written confirmation back, indicate this... "No faxbacks," or "up to 30 pages faxed," or something like that. That way there is no confusion.

I get not wanting to do it, but...it's a fairly standard request in the industry and it's best ot be prepared to be able to handle it in a way that is efficient.

That's why I have sheetfeed scanner (Scansnap S1500) -- it makes handling faxbacks a breeze. The package converts to a secured PDF file that can be securely emailed back to them (which several TCs actually prefer) or you can send the PDF file to a email to fax service, which converts it to a traditional fax. No fax machine required. If I'd confirmed that there were no faxbacks required, or the number changed, then I'd go back to them (before doing the job) and say, 'Hey, our agreement was X for X. You want more work now, so I am happy ot do what you asked, but if you want this extra work done, you'll need to pay for it."

For 100 pages... I would have asked for about $30-35, not $75.

With the technology available to us today, we should not have to stand at an actual fax machine and spend hours babysitting a fax. Get a proper high speed scanner and get the job done quickly and easily. Having the right tools to do a job most efficiently allows you to be more professional. I can tell you that one particular title company rep said even though I'm farther away than another notary in an area, they call me because they know I have the right equipment and gets the files back to them the way they want them, without a lot of extra fuss. yes, they pay for it, but she told me that this other notary whines (yes, whines...her words) about faxbacks because she has to go to FedEx Kinkos to do it and complains that it costs her $1.00 a page and takes forever.

I tell her, "No problem!" -- and they get a print quality can back to them via their VPN that they can start processing immediately. And... I charge half of what the "whiner" does for a better quality product. Oh, they still pay out the nose for me... but they don't get whining.

I use a program on my I phone called cam scanner.
At the table I take a snapshot of each page & then when done I select E-Mail & there it goes.
I would suggest get the full version. No logos on the bottom of each page.
I usually get 15-25 extra to that.

I have cam scanner but I would never use it to scan 100 pgs

its fine for ID or a couple docs. but 100? that would take me a long timeSmile

I have a scanner app in my phone too, but would not use it for RE docs due to privacy reasons. If the phone is lost or stolen, the personal information is available to other third parties.

I'm with Sue

That scanner app is nothing more than a photo app that turns photos in to PDF files and has some PDf editing functions. It's great for "scanning" receipts and smaller documents for archival purposes... but not for larger , professional documents that require better resolution.

I have CamScanner on my phone, too. It has its' uses... but not for notary work, IMO.

When you are negotiating the signing, make it clear to the scheduler that the fee you are quoting is for the job *discussed*. In other words, if you are given few details, ask questions - i.e. fax backs required and how many pages; extended distance, extra large packages, 4 borrowers, etc. If the scheduler says, "I only know the job is a single refi, edocs, 100 pages. I have no more details than that."

Then say, "Ok, for a single refi, edocs, and 100 pages, my fee is $XXX." NOW....here's the important disclaimer you should say to the scheduler just after you quote your fee: "I am quoting you my fee based on our *discussion*. If the edocs I receive are different than what we just discussed and there are other requests not part of the original order (i.e. they call after the signing to say fax back the whole package) then I will call you back to quote my fee based on the actual job.

If you do that, then you won't quote a fee for a single refi then get edocs for a reverse mortgage with the hiring party expecting you to stick to the quoted fee. Many times the scheduler DOES in fact know more details about the signing than they volunteer - they want to get as many services as they can squeeze out of the notary and pay as little as possible. Sometimes the scheduler truly doesn't have info on the job. But by making it clear that the fee quoted does not include services not negotiated or not part of the original order but an "afterthought" on their part.

Ask a lot of questions - and quote your fee based only on what is discussed. Make it crystal clear that you WILL call back if the edocs received are different from what was negotiated on the phone.

LKT is absolutely correct. Ask questions and quote accordingly.

Had a call this evening for a single edoc refi this coming Saturday at 5 pm in the next town over for 2 borrowers. Okay, who's the lender? BofA. Usually large pkg. Any fax-backs? Oh yeah. BTW, Spanish is required. Not a problem. My fee is $xxx. But, we're only getting (less than my fee). Sorry, (then I go on to break it down for him). He'll let lender know about the additional costs involved and try to get more money and call me back.

Usually, with those parting words, I don't give it another thought. They usually move on to the next nsa. This company, however, is not a lowballer and I actually believe he will try for more and call back.

To the OP ** but, you see all the questions were asked and the parameters have been set of what that fee covers.

The actual faxing doesn't bother me. I have a high speed printer/scanner/fax. I just stick the pile of papers in, type in the number and hit send. I have a Copystar CS 3500i. I make payments each month for it and it will be mine in 6 years. It has made this job SO MUCH EASIER!!

The thing that takes time for me is all the separating papers, post it notes, etc.

Thanks for all the information, but when i accepted the assignment no fax backs were mentioned, nor were they on the confirmation notice. They threw in an extra 25.00 for the 3 hours work that followed. Making me late for my 0930 appointment. So now before i accept any assignment i ask, fax backs? If they say no, then i will try and not have to drive 50 minutes to signing @ 5:30 pm when FED EX closes at 6.

FAX Backs

One other item not mentioned here with fax backs is that dropping the shipment will often be delayed. I scan the docs when I get back to my home office. Often that means the UPS or Fedex pickup time has passed. Scanning for fax backs will not interfere with another scheduled assignment.
