Introduction

I just received an reprimand for being to informal when I introduced myself when I contacted a borrower confirming their signing appointment.
Can I get some examples of how other notaries introduce themselves on the telephone. Evidently just saying hello my name is and and I am calling regarding - is not suitable

I wonder if it wasn't you?

I run into people all the time thinking I was the person who originally called to schedule their appointment (title agent or escrow officer or somebody's assistant). I call again, and they say "but you already called me" and I explain that no, that was likely the other officer, there's a few of us involved in the process.

I've often had people say they didn't appreciate the conversations they had by telephone with title/escrow or bank, and often they're too informal when they talk to me. (I think I've ranted here before about being called "sweetie" or "honey.")

Oh hi Mr XXX I just want to reconfirm our appt for xxx and to be sure you have proper ID. I have in the documents John Doe and Jane Doe do you have in your Id's with that exact names in them?


I have in my file your address as xxxx is that correct? Ok I will see you there at xx on xxx.


What else did they wanted you to say?

I would be ready to "count to ten" when arriving to close, if they are complaining at the time of the phone call. I think the problem is not with you and you about to experience a less than "happy signer". Good luck.

"Hi, my name is...

Cheryl Mihalik, I am your notary for XX (date). Is this a good time? I'll only take a few moments. I was just calling to introduce myself, but additionally, I wanted to make sure that you are aware that a copy of your ID must go back with the document package; it must be a government issued photo ID. Your license will suffice. I request that you have those ready and available for WHEN I get there, along with the originals as I cannot swear to your identity on a copy." I go on to confirm date, time and address.

Also, and most importantly, try and SMILE as much as possible while you're on the phone, ESPECIALLY as you're concluding the call. It gives a totally different tone to your voice (you'd be surprised) AND you actually feel better when you get off the call. I had a bo tell me not too long ago that she could tell I smile when I'm on the phone. I asked her how she knew that and she stated that she was a music teacher and she could tell by the tone and inflection of my words. I thought that was pretty cool.

It always feels good when a bo thanks you for being organized, efficient and professional. I was always told that if I want to be treated professionally, I have to act, speak and carry myself professionally (including my attire-dress for the job (money) you want, not the job (money) you have-good thing I don't dress for the money I HAVE...LOL.) Fake it till ya make it!!

I'm sorry maybe I missed it... but what specifically did you say... that "they" felt was so unprofessional? And by the way who is "they". Is this a complaint by "a" borrower? Who? Thanks...
